Privacy Policy

Introduction

Propamp.ai respects the privacy of our users and is committed to protecting it through our compliance with this Privacy Policy. This document outlines our policies regarding the collection, use, maintenance, protection, and disclosure of personal information we receive from users of our services.

This policy covers the Propamp.ai web application, our API, and the Propamp MCP server, which lets you connect an external AI assistant to your Propamp data.

1. Information We Collect

1.1 Personal Information

We collect personal information when you register with Propamp.ai, use our services, or communicate with us. This may include your name, email address, phone number, and payment information.

1.2 Usage Data

We automatically collect information sent by your device when you use our services, such as IP address, browser type, browser version, our service pages that you visit, the time and date of your visit, the time spent on those pages, and other diagnostic data.

1.3 Amazon Seller Central Data (Selling Partner API)

When you authorize a marketplace connection, you grant Propamp.ai access to your Amazon Seller Central account through Amazon's Selling Partner API (SP-API). We never receive or store your Amazon password. Amazon issues us a revocable access token, which we store encrypted.

In compliance with Amazon's Acceptable Use Policy we request only the data needed to operate the features you use. Depending on the marketplaces and features you enable, this includes:

  • Orders and order items, including quantities, prices, and order status
  • Financial events and settlement data — Amazon fees, refunds, reimbursements, and payouts
  • Inventory data across FBA, Amazon Warehousing and Distribution (AWD), and your own storage locations
  • Product and catalogue data — ASINs, SKUs, listings, dimensions, and fees
  • Returns and customer-return reasons
  • Sales and traffic reports, including sessions and conversion metrics
  • Inbound shipment and fulfilment data
  • Advertising performance data, where you separately connect an Amazon Ads account
  • Buyer–seller messages, where you use our messaging features. These can contain personal data belonging to your customers, which we process on your behalf.

Amazon order data may include limited buyer information. We process it solely to provide the service to you, we do not use it to build advertising profiles, and we do not sell it. You can revoke our access at any time from Amazon Seller Central or from your Propamp.ai marketplace settings.

1.4 Data You Enter

We store the operational data you create in Propamp.ai, including purchase orders, supplier and freight-forwarder records, costs, expenses, targets, notes, and any documents or images you upload.

1.5 AI Assistant and MCP Tool-Call Records

Propamp.ai includes an in-app AI assistant, and the Propamp MCP server lets you connect an external AI client such as Claude or Codex to your Propamp data.

When you use an external AI client through the Propamp MCP server, we record every tool call it makes on your behalf. For each call we store, on Propamp.ai infrastructure:

  • the name of the tool that was called;
  • the full arguments supplied to that tool. Because your AI client derives these from your conversation, they can contain text you typed — for example a product name, a date range, a supplier, or a note;
  • the full response returned to the client, which contains the Propamp and Amazon business data that answered the call; and
  • an error message instead of a response, where the call failed.

We use these records to operate and support the service: to meter usage, to diagnose failures, and to improve reliability and tool quality. They are stored on our own backend and are not sent to the provider of your AI client, and not used to train any third-party AI model.

This recording is part of how the MCP service operates and cannot be disabled per-session. If you do not want tool calls recorded, do not connect an external AI client. Note separately that your conversation itself is handled by whoever provides that client — Anthropic, OpenAI, or another vendor — under their own privacy policy, which we do not control.

2. How We Use Your Information

  • To provide and maintain our services
  • To notify you about changes to our services
  • To allow you to participate in interactive features when you choose to do so
  • To provide customer support
  • To gather analysis or valuable information so that we can improve our services
  • To monitor the usage of our services, including metering and billing
  • To detect, prevent, and address technical issues
  • To comply with our legal obligations

We do not sell your personal information, and we do not use your Amazon Seller Central data to train AI models.

3. Where and How We Store Your Data

Your data is stored on infrastructure operated by our hosting and database providers in the United States and the European Union. Amazon access tokens and other credentials are encrypted at rest using AES-256, and all traffic between your browser, our services, and Amazon runs over TLS 1.3.

We implement appropriate technical and organizational measures designed to secure your personal information from accidental loss and from unauthorized access, use, alteration, and disclosure. Access to production data is limited to personnel who need it to operate and support the service.

If you are located outside the country where our providers operate, your data is transferred and processed there. Where required, these transfers rely on Standard Contractual Clauses.

4. Compliance with Amazon's Acceptable Use Policy

We comply with all aspects of Amazon's Acceptable Use Policy to ensure that our use of the Amazon Selling Partner API is in line with Amazon's guidelines, protecting both your data and the integrity of Amazon's services.

5. Sharing Your Information

We do not sell your personal information. We share it only with service providers who process it on our behalf so that we can operate the service, and only to the extent each provider needs. All are bound by confidentiality and data-protection obligations. These are:

  • Amazon Web Services and our hosting and database providers — application hosting, databases, caching, and file storage
  • Stripe — subscription payments. Card details go directly to Stripe; we never store them.
  • Plaid — bank-account connections, where you choose to link one
  • OpenAI and Anthropic — the AI models behind our in-app assistant and AI features. Content you send to those features is transmitted to the relevant provider to generate a response. We use their business offerings and do not permit them to train on your data.
  • Sentry — error and performance monitoring, which can include technical diagnostic data
  • Resend — transactional email such as verification and notification messages
  • Chatwoot — customer support conversations
  • Amazon, Meta, TikTok, and Google — advertising platforms, for those accounts you separately choose to connect

We may also disclose information where required to comply with the law, to enforce our agreements, or to protect the rights, property, or safety of Propamp.ai, our users, or others. If Propamp.ai is involved in a merger or acquisition, we will notify you before your information is transferred and becomes subject to a different privacy policy.

Records of MCP tool calls described in section 1.5 are held on our own infrastructure and are not shared with AI providers or any other third party.

6. Data Retention

We retain your personal information only for as long as is necessary for the purposes set out in this Privacy Policy. In practice:

  • Account and business data — kept for as long as your account is active. After you close your account we delete or anonymise it within 90 days, except where we must keep records longer to meet legal, tax, or accounting obligations.
  • Amazon access tokens — deleted when you disconnect a marketplace or close your account.
  • MCP tool-call and AI request records — retained for up to 12 months for usage metering, support, and reliability, then deleted.
  • Technical logs and error reports — retained for up to 90 days.
  • Billing and invoice records — retained as long as required by applicable tax and accounting law.

You can ask us to delete your data sooner — see section 7.

7. Your Data Protection Rights

You have the right to access, correct, update, or request deletion of your personal information directly within your account settings section of our services. You have the right to opt out of receiving marketing communications we send you at any time.

Depending on where you live, you may also have the right to a copy of your data in a portable format, to object to or restrict certain processing, and to lodge a complaint with your local data-protection authority. To exercise any of these rights, or to request deletion of your MCP tool-call records, contact us using the details in section 10 and we will respond within 30 days.

8. Children's Privacy

Propamp.ai is a business tool and is not directed to anyone under 16. We do not knowingly collect personal information from children.

9. Changes to This Privacy Policy

We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the date at the top. Where changes are material, we will give you notice in the application or by email.
